Terms of Service
Last updated 2 October 2026Effective 26 September 2026
About these terms
These terms form a legal agreement between you and Svayam Incarnation Limited ("we", "us", "our"), a company registered in England and Wales, about your use of Viremail, our email, calendar, contacts, notes, tasks, chat, calling, file storage and office service, including Drive, Write, Grid, Deck and Forms (the "service").
By creating an account or signing in, you agree to these terms and to our Acceptable Use Policy and Anti-Spam Policy, which form part of them. Our Privacy Policy explains how we use your personal data.
If you are using Viremail on behalf of an organisation, you confirm you have authority to accept these terms for it.
Who can use the service
- You must be at least 13 years old. If you are under 18, you should read these terms with a parent or guardian.
- You must not be barred from using the service under the laws that apply to you.
- You must give accurate information when you sign up, and keep it up to date.
Your account and security
- Keep your password, backup codes, passkeys and authenticator device secure. Do not share them.
- You are responsible for what happens on your account. Tell us promptly if you think it has been compromised.
- One person per personal account. Accounts may not be sold, rented or transferred.
- We strongly recommend turning on two-step verification and adding a recovery email. Without a recovery method, we may not be able to restore access if you forget your password.
- If you use end-to-end encryption and reset (rather than change) your password, you may permanently lose access to encrypted messages. See End-to-End Encryption.
Sharing your mailbox with someone else
You can let another person with a Viremail mailbox read your mail and, if you choose, reply, send mail from your address on your behalf, organise it or move it to Trash. They use their own account. You never share your password.
- You decide who gets access, what they can do and for how long, and you are responsible for that choice and for what is done with it.
- Before you share a mailbox that others write to, make sure you are allowed to. If the person you share with works for you, tell them that what they do in your mailbox is recorded and that you can see it. If your mailbox belongs to an organisation, follow its rules.
- You can share all of your mailbox or only part of it (some folders, mail from some senders, or one conversation).
- Mail they send shows your address as the sender and names them as the person who sent it on your behalf. If you let them send as you, it shows only your name: you are responsible for that mail as if you had sent it yourself, and the record still shows who sent it.
- You can see what they did, change it, or remove their access at any time. Workspace admins can also remove it.
- The same goes for your calendar, contacts, whole Drive, leads and booking page when you share them. Someone you share your Drive with never becomes its owner and can never share it on. Someone you share your calendar with never sees your private events, and can’t invite guests in your name.
Shared mailboxes run by a workspace
An owner or admin of a workspace can create a shared mailbox, such as support@, on a domain the workspace has shown it controls. The mailbox and its mail belong to the workspace, not to the people who use it.
- The workspace decides who can use the mailbox and what they can do, and can remove them at any time.
- What each person does in a shared mailbox is recorded, and the workspace’s owner and admins can see that record. The workspace is responsible for telling the people it adds, and for following the law where they work.
- Mail sent from it shows the shared address. Unless the workspace chooses to hide it, it also names the person who wrote it.
- If the workspace is deleted or no longer controls the domain, nobody can open the mailbox, but we keep it and its mail. The owner of a workspace that controls the domain can reconnect it or delete it. Only the workspace owner can delete a shared mailbox, and deleting it removes its mail for good.
Your content
You own the messages, files, contacts, calendar entries, notes and other content you create or store ("your content"). You give us a limited permission to store, process, transmit and display your content only as needed to run the service for you, for example to deliver your mail, filter spam and malware, index it so you can search, and back it up.
You are responsible for your content and must have the right to send and store it.
We do not read your mail except through automated systems (such as spam and malware filtering), when you ask us to help with a support issue, or when the law requires it.
Acceptable use
You must not misuse the service. In particular, you must not send spam, phishing or malware, break the law, harass people, or try to break our security. The full rules are in the Acceptable Use Policy.
The service, storage and availability
- Each mailbox has a storage quota, shown in Settings. When you reach it, you may be unable to receive or send mail until you free up space.
- Sending limits apply to protect the service and other users (see the Anti-Spam Policy).
- We work hard to keep the service available and secure, but we do not guarantee it will be uninterrupted or error-free. We may carry out maintenance, and we may change, add or remove features over time.
- Keep your own copies of anything you cannot afford to lose. You can download messages with IMAP or "Show original".
Personal accounts are free. Business accounts, with mailboxes on your own domain, are paid: their prices and billing terms are in our Business terms, and we show them clearly before you pay.
Third-party services
A few features rely on third parties, such as password breach checks with Have I Been Pwned and GIF search from KLIPY. These are described in our Privacy Policy. GIFs found through KLIPY belong to their owners and are shown under KLIPY's terms. We are not responsible for websites or services outside Viremail that you choose to visit or connect to, including links in emails you receive.
AI apps you connect
You can connect AI apps, such as Claude or ChatGPT, to your account and let them read, save drafts, create things and, if you approve it, send email for you. These apps are run by other companies under their own terms. You are responsible for what you let a connected app do and for every email, invitation and change you approve or allow it to make, as if you had done it yourself. Check each one before you approve it: an AI can be misled by something it reads. If you let an app send without asking, you are responsible for what it sends. You can disconnect an app at any time in Settings, AI and connected apps.
Suspension and termination
We may restrict sending, suspend or close an account if we reasonably believe it breaks these terms, puts other users or the service at risk, or if we are required to by law. Where it is safe and lawful to do so, we will tell you why and give you a chance to respond. See the enforcement section of the Acceptable Use Policy.
You can stop using the service at any time, and delete your account in Settings, Account. Deletion is permanent: your mailbox, messages, contacts, calendars, notes and settings are removed and cannot be recovered. See the Data Retention Policy.
Our responsibility to you
If you are a consumer, you have legal rights in relation to services that are not carried out with reasonable care and skill. Nothing in these terms affects those statutory rights.
Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited or excluded by law.
Subject to that, we are not responsible for losses that were not reasonably foreseeable, for losses caused by your own breach of these terms, or (if you use the service for business purposes) for loss of profit, revenue, business opportunity or data.
Business customers: our total liability for all claims in any 12 months is limited to the fees you paid us for the service in those 12 months.
Changes to these terms
We may update these terms, for example to reflect changes to the service or the law. If a change is significant we will tell you in advance, by email to your account or in the app. If you do not agree to the new terms, you can delete your account before they take effect.
Governing law and disputes
These terms are governed by the laws of England and Wales. Disputes will be dealt with by the courts of England and Wales, except that if you live in Scotland or Northern Ireland you may also bring proceedings in your local courts.
If a court finds part of these terms unenforceable, the rest will continue to apply.
