Anti-Spam Policy
Last updated 2 October 2026Effective 26 September 2026
Our approach
We do not allow spam. Incoming mail is checked by our spam filter, and outgoing mail is monitored for signs of abuse so that Viremail stays trusted by other mail providers.
Consent
If you send marketing or bulk messages you must follow UK law, including the Privacy and Electronic Communications Regulations (PECR). In particular:
- Only email people who have clearly agreed to receive your messages, or existing customers where the "soft opt-in" rules apply.
- Keep a record of when and how each person agreed.
- Never use bought, rented, scraped or shared lists.
Unsubscribing
- Every marketing message must say who it is from and include a simple, free way to unsubscribe.
- Honour unsubscribe requests promptly, and in any case within a few days.
- Do not use misleading subject lines or disguise the sender.
Sending limits
To protect the service, we limit how many messages and recipients an account can send in a given period. Current limits: a message from a shared mailbox can go to at most 100 people, and the mail server slows down an account that sends an unusually large amount in a short time.
These limits are designed for normal personal and business use. Viremail is not a bulk-mailing platform. If you need to send newsletters, use a dedicated service built for that purpose.
Accounts that send a high volume of mail that bounces, or is marked as spam by recipients, may have sending paused while we investigate.
Reporting spam
If you receive spam in Viremail, use the Report spam action. This moves it to Junk and helps train the filter.
If you receive spam from a Viremail address, contact us at [email protected], including the full message headers (use "Show original"). We investigate every report.
Consequences
Breaking this policy may lead to sending limits, suspension or closure of your account, as described in the Acceptable Use Policy.
Sending from a business domain
Draft for legal review. This part describes Business Viremail and does not apply until it has been approved and published.
Mail from a business’s own domain has these limits, to protect delivery for everyone:
| Period | Per domain | Per mailbox |
|---|---|---|
| During the free month and a domain’s first 14 days | 200 per hour | 60 per hour |
| On a paid plan | 1,000 per hour | 300 per hour |
- The domain must keep the SPF, DKIM and DMARC records we ask for.
- Do not send to bought, rented or scraped lists. Bulk mail must reach only people who agreed to it, and Send to a list adds a one-click unsubscribe to every message.
- We may lower the limits for, or pause sending from, a domain whose mail is reported as spam, and we will tell its owner why.
Review request emails
Draft for legal review. This part describes Business Viremail and does not apply until it has been approved and published.
Review requests, coming soon with Billing, are treated as marketing email, with these rules:
- Each one comes from the business’s own address, with an honest subject and the business’s postal address. We do not send them until the business has added one.
- Every email has a one-click unsubscribe link and header. An unsubscribe is honoured at once and stops every review email from that business to that address.
- Nobody is asked more than once in the waiting period the business sets (90 days by default).
- In the UK and the EU, a business may email its existing customers only if it gave them a chance to say no when it collected their details, for example on its booking page or form.
- The link in the email goes through us so the business can see it was used, and the email says so. Counting opens is off by default and needs the customers’ consent in the UK and the EU.
